Why Record-Keeping Is the Difference Between Profit and Loss

If there is one single practice that separates profitable farmers from struggling ones, it is record-keeping. Not breed selection. Not feed formulation. Not vaccination. RECORD-KEEPING. The farmer who knows their exact cost per bird, their exact mortality rate, and their exact feed conversion ratio makes decisions based on data. The farmer who farms from memory makes decisions based on feelings - and feelings are terrible at managing money.

The 30% Profit Gap

A study by the International Livestock Research Institute (ILRI) found that African farmers who kept basic records earned 25-35% more profit than those who did not. Not because records make animals grow faster - they do not. But because records reveal where money is being lost, and you cannot fix a leak you cannot see.

What Records to Keep (Minimum)

  • Daily egg production per batch - tells you if production is declining and when to cull
  • Daily mortality per batch - tells you if a disease outbreak is starting
  • Weekly feed consumption per batch - lets you calculate FCR
  • All expenses (feed, meds, labor, transport) - lets you calculate cost per bird
  • All sales (weight, price, buyer) - lets you calculate revenue per bird
  • Vaccination dates per batch - lets you prove health status to buyers

How to Start (Even Without an App)

Buy a notebook. Write the date. Count your eggs, write the number. Count your dead birds, write the number. Weigh the feed you gave, write the kg. Do this every day for 30 days. At the end of the month, add up the feed and divide by the total weight gained. That is your FCR. Add up your expenses and subtract from your revenue. That is your profit. You have just done more financial analysis than 80% of African farmers.

Or, use FarmWise. The app does all of this automatically - daily egg counts, mortality tracking, feed consumption, FCR calculation, per-batch profit/loss, vaccination records, and health events. You enter the data once; the app does the math forever.

The Records That Reveal the Truth

Here are 5 truths that records reveal - and that memory hides:

1. "I think I'm making money" → Records show you are losing 200 FCFA (~$0.33) per bird. Without tracking feed cost per bird, you might think you are profitable because revenue exceeds the chick cost. But when you add feed, vaccines, labor, and mortality, the picture changes.

2. "My birds are growing fine" → Records show FCR of 2.4 (industry standard is 1.7). You are using 40% more feed than necessary. Without FCR tracking, you have no idea.

3. "Mortality is normal" → Records show 4% cumulative mortality (normal is 2%). You are losing 20 extra birds per 500. At 3,000 FCFA (~$5.00) each, that is 60,000 FCFA (~$100) invisible loss.

4. "Feed brand X is fine" → Records show worse FCR with brand X than brand Y. Switching brands could save 50,000 FCFA (~$83.3) per batch - but only records reveal the difference.

5. "I sell at a good price" → Records show buyer A pays 1,700 FCFA (~$2.83)/kg while buyer B pays 1,900. Selling everything to buyer B would add 100,000 FCFA (~$167) per batch.
